What is the Emergency Takeover Supervisor procedure?

It’s your red safety button. By paying the subscription, you gain the right to it, but you activate it only when the need actually arises (sudden departure, illness, reorganization). If the team is calm in a given month, the procedure “sleeps,” and you pay only for system protection.

However, if turnover occurs and you decide to activate the procedure, I step into the role of your Supervisor, and we operate according to a clear plan:

STEP 1: 24h Response and Strategic Positioning (Day 1)

Immediately upon notification, we contact you by phone or email. We must quickly analyze the situation: what caused the turnover, the departing person’s mood, and where the greatest risk lies. The entire action plan and priorities for the critical first 72 hours depend on this single conversation.

STEP 2: Supervision, Mediation, and Knowledge Protection (Days 2–3)

As an external Supervisor, I take on the burden of coordinating this change, acting entirely asynchronously:

  • Communication bridge: If the situation requires it, I mediate discussions about turnover between the departing PM, the Management Board, the production team, and even the Client, ensuring full professionalism and calm.

  • Knowledge extraction: I assist the departing manager (or your internal PMO/Management Board, if the person is no longer there) in extracting the most important information. We package and secure critical project knowledge before it irrevocably disappears.

  • Takeover Protocol: I prepare an official project handover and Project Takeover protocol that clearly documents the factual status.

STEP 3: Project Status Audit (Handover Day)

On the day of the official “changing of the guard,” I conduct an independent closing audit. You receive clear information on whether there are any hidden errors or “skeletons in the closet” in the project that your new employee would have to deal with.

STEP 4: Handover Readiness Check & Assistance (First 14 days)

I do not leave the new person to their own devices.

  • I verify the new PM’s (or the person temporarily taking over from the PMO) level of preparation. I check if they genuinely understand the budget, schedule, and risks.

  • For the first 14 days, I provide asynchronous online expert support to the new leader. I act as their mentor and “second pair of eyes” – answering questions and helping them smoothly and confidently transition into their new responsibilities.
