And why does Project Takeover generate the greatest project risk?"},"content":{"rendered":"\t\t<div data-elementor-type=\"wp-post\" data-elementor-id=\"16447\" class=\"elementor elementor-16447 elementor-15488\">\n\t\t\t\t<div class=\"elementor-element elementor-element-60e537e5 e-flex e-con-boxed e-con e-parent\" data-id=\"60e537e5\" data-element_type=\"container\" data-e-type=\"container\">\n\t\t\t\t\t<div class=\"e-con-inner\">\n\t\t<div class=\"elementor-element elementor-element-e641d76 e-con-full e-flex e-con e-child\" data-id=\"e641d76\" data-element_type=\"container\" data-e-type=\"container\" data-settings=\"{&quot;background_background&quot;:&quot;gradient&quot;}\">\n\t\t\t\t<div class=\"elementor-element elementor-element-b54f7a6 elementor-widget elementor-widget-text-editor\" data-id=\"b54f7a6\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p data-start=\"287\" data-end=\"339\">In project management, there&#8217;s a lot of talk about Project Handover.<\/p><p data-start=\"341\" data-end=\"413\">About documentation transfer.<br data-start=\"368\" data-end=\"371\"\/>About checklists.<br data-start=\"386\" data-end=\"389\"\/>About final reports.<\/p><p data-start=\"415\" data-end=\"453\">We talk much less about Project Takeover.<\/p><p data-start=\"455\" data-end=\"602\">Yet it is precisely Project Takeover \u2014 the moment a new Incoming Project Manager takes over a project \u2014 that is the riskiest point in the entire project lifecycle.<\/p><p data-start=\"604\" data-end=\"641\">And often the most underestimated.<\/p><hr data-start=\"643\" data-end=\"646\"><h1 data-start=\"648\" data-end=\"684\">Project Handover and Project Takeover are not the same<\/h1><p data-start=\"686\" data-end=\"770\">Although these terms are sometimes used interchangeably, they represent two completely different perspectives. <\/p><p data-start=\"772\" data-end=\"867\"><strong data-start=\"772\" data-end=\"784\">Project Handover<\/strong> concerns the person transferring the project.<br data-start=\"821\" data-end=\"824\"\/>Its goal is to organize the past.<\/p><p data-start=\"869\" data-end=\"963\"><strong data-start=\"869\" data-end=\"881\">Project Takeover<\/strong> concerns the person taking over the project.<br data-start=\"917\" data-end=\"920\"\/>Its goal is to secure the future.<\/p><p data-start=\"965\" data-end=\"1052\">Project Handover closes a certain stage.<br data-start=\"993\" data-end=\"996\"\/>Project Takeover opens the next \u2014 under time pressure and expectations.<\/p><p data-start=\"1054\" data-end=\"1079\">This is a fundamental difference that I wrote more about in a previous blog article, which you can read<a href=\"https:\/\/olakanofocka.pl\/en\/?p=16466\"> here.<\/a><\/p><hr data-start=\"1081\" data-end=\"1084\"><h1 data-start=\"1086\" data-end=\"1123\">Why is Project Takeover more difficult?<\/h1><h2 data-start=\"1125\" data-end=\"1169\">1. Decision pressure appears immediately<\/h2><p data-start=\"1171\" data-end=\"1215\">A Incoming PM rarely gets &#8216;time to observe&#8217;.<\/p><p data-start=\"1217\" data-end=\"1246\">Already in the first few days, they must:<\/p><ul data-start=\"1247\" data-end=\"1382\"><li data-start=\"1247\" data-end=\"1282\"><p data-start=\"1249\" data-end=\"1282\">answer sponsor questions,<\/p><\/li><li data-start=\"1283\" data-end=\"1301\"><p data-start=\"1285\" data-end=\"1301\">reassure the team,<\/p><\/li><li data-start=\"1302\" data-end=\"1330\"><p data-start=\"1304\" data-end=\"1330\">make operational decisions,<\/p><\/li><li data-start=\"1331\" data-end=\"1357\"><p data-start=\"1333\" data-end=\"1357\">confirm the schedule,<\/p><\/li><li data-start=\"1358\" data-end=\"1382\"><p data-start=\"1360\" data-end=\"1382\">assess the plan&#8217;s feasibility.<\/p><\/li><\/ul><p data-start=\"1384\" data-end=\"1447\">They don&#8217;t yet know the full context.<br data-start=\"1418\" data-end=\"1421\"\/>But they are already fully accountable.<\/p><p data-start=\"1449\" data-end=\"1488\">This is a moment of high decision-making risk.<\/p><hr data-start=\"1490\" data-end=\"1493\"><h2 data-start=\"1495\" data-end=\"1534\">2. Authority must be built from scratch<\/h2><p data-start=\"1536\" data-end=\"1589\">When taking over a project, the PM enters an existing dynamic:<\/p><ul data-start=\"1591\" data-end=\"1683\"><li data-start=\"1591\" data-end=\"1611\"><p data-start=\"1593\" data-end=\"1611\">team relationships,<\/p><\/li><li data-start=\"1612\" data-end=\"1638\"><p data-start=\"1614\" data-end=\"1638\">stakeholder tensions,<\/p><\/li><li data-start=\"1639\" data-end=\"1660\"><p data-start=\"1641\" data-end=\"1660\">informal arrangements,<\/p><\/li><li data-start=\"1661\" data-end=\"1683\"><p data-start=\"1663\" data-end=\"1683\">history of conflicts.<\/p><\/li><\/ul><p data-start=\"1685\" data-end=\"1754\">The team compares.<br data-start=\"1702\" data-end=\"1705\"\/>The sponsor evaluates.<br data-start=\"1720\" data-end=\"1723\"\/>Stakeholders test boundaries.<\/p><p data-start=\"1756\" data-end=\"1815\">Every first decision builds \u2014 or undermines \u2014 authority.<\/p><hr data-start=\"1817\" data-end=\"1820\"><h2 data-start=\"1822\" data-end=\"1866\">3. Documentation does not reflect the logic of decisions<\/h2><p data-start=\"1868\" data-end=\"1910\">Even the best Project Handover document contains:<\/p><ul data-start=\"1912\" data-end=\"1956\"><li data-start=\"1912\" data-end=\"1921\"><p data-start=\"1914\" data-end=\"1921\">status,<\/p><\/li><li data-start=\"1922\" data-end=\"1931\"><p data-start=\"1924\" data-end=\"1931\">risks,<\/p><\/li><li data-start=\"1932\" data-end=\"1946\"><p data-start=\"1934\" data-end=\"1946\">schedule,<\/p><\/li><li data-start=\"1947\" data-end=\"1956\"><p data-start=\"1949\" data-end=\"1956\">budget.<\/p><\/li><\/ul><p data-start=\"1958\" data-end=\"1977\">But it rarely contains:<\/p><ul data-start=\"1979\" data-end=\"2112\"><li data-start=\"1979\" data-end=\"2015\"><p data-start=\"1981\" data-end=\"2015\">reasons for previous compromises,<\/p><\/li><li data-start=\"2016\" data-end=\"2045\"><p data-start=\"2018\" data-end=\"2045\">real political tensions,<\/p><\/li><li data-start=\"2046\" data-end=\"2086\"><p data-start=\"2048\" data-end=\"2086\">unspoken sponsor expectations,<\/p><\/li><li data-start=\"2087\" data-end=\"2112\"><p data-start=\"2089\" data-end=\"2112\">informal dependencies.<\/p><\/li><\/ul><p data-start=\"2114\" data-end=\"2163\">The new PM sees the plan.<br data-start=\"2133\" data-end=\"2136\"\/>They don&#8217;t see the history of decisions.<\/p><p data-start=\"2165\" data-end=\"2231\">And without this history, it&#8217;s very easy to make rational but inconsistent moves.<\/p><hr data-start=\"2233\" data-end=\"2236\"><h2 data-start=\"2238\" data-end=\"2280\">4. Responsibility is immediate<\/h2><p data-start=\"2282\" data-end=\"2302\">At the moment of Project Takeover:<\/p><ul data-start=\"2304\" data-end=\"2424\"><li data-start=\"2304\" data-end=\"2344\"><p data-start=\"2306\" data-end=\"2344\">responsibility transfers entirely,<\/p><\/li><li data-start=\"2345\" data-end=\"2377\"><p data-start=\"2347\" data-end=\"2377\">the margin for error is minimal,<\/p><\/li><li data-start=\"2378\" data-end=\"2424\"><p data-start=\"2380\" data-end=\"2424\">stakeholder patience is limited.<\/p><\/li><\/ul><p data-start=\"2426\" data-end=\"2483\">This is the moment when an organization tests its maturity.<\/p><p data-start=\"2485\" data-end=\"2567\">Because if Project Takeover depends solely on an individual&#8217;s competence \u2014 the risk is enormous.<\/p><hr data-start=\"2569\" data-end=\"2572\"><h1 data-start=\"2574\" data-end=\"2612\">Domino effect after a failed Project Takeover<\/h1><p data-start=\"2614\" data-end=\"2658\">A failed Project Takeover triggers a familiar mechanism:<\/p><p data-start=\"2660\" data-end=\"2747\">lack of context \u2192 incorrect decisions \u2192 escalations \u2192 loss of trust \u2192 project destabilization<\/p><p data-start=\"2749\" data-end=\"2790\">At the program or portfolio level, this means:<\/p><ul data-start=\"2792\" data-end=\"2889\"><li data-start=\"2792\" data-end=\"2817\"><p data-start=\"2794\" data-end=\"2817\">disruption of priorities,<\/p><\/li><li data-start=\"2818\" data-end=\"2851\"><p data-start=\"2820\" data-end=\"2851\">increased investment risk,<\/p><\/li><li data-start=\"2852\" data-end=\"2889\"><p data-start=\"2854\" data-end=\"2889\">decrease in predictability of execution.<\/p><\/li><\/ul><p data-start=\"2891\" data-end=\"2950\">This is no longer a personal problem.<br data-start=\"2926\" data-end=\"2929\"\/>It&#8217;s a systemic problem.<\/p><hr data-start=\"2952\" data-end=\"2955\"><h1 data-start=\"2957\" data-end=\"3025\">Why do organizations focus on Project Handover, not Project Takeover?<\/h1><p data-start=\"3027\" data-end=\"3067\">Because Project Handover is easier to describe.<\/p><p data-start=\"3069\" data-end=\"3159\">It can be closed with a checklist.<br data-start=\"3097\" data-end=\"3100\"\/>A document template can be created.<br data-start=\"3130\" data-end=\"3133\"\/>It can be checked off in the process.<\/p><p data-start=\"3161\" data-end=\"3193\">Project Takeover is more &#8216;soft&#8217;:<\/p><ul data-start=\"3195\" data-end=\"3288\"><li data-start=\"3195\" data-end=\"3217\"><p data-start=\"3197\" data-end=\"3217\">it concerns leadership,<\/p><\/li><li data-start=\"3218\" data-end=\"3239\"><p data-start=\"3220\" data-end=\"3239\">decisions under pressure,<\/p><\/li><li data-start=\"3240\" data-end=\"3264\"><p data-start=\"3242\" data-end=\"3264\">perception management,<\/p><\/li><li data-start=\"3265\" data-end=\"3288\"><p data-start=\"3267\" data-end=\"3288\">stabilization of relationships.<\/p><\/li><\/ul><p data-start=\"3290\" data-end=\"3356\">But it is precisely Project Takeover that determines the project&#8217;s controllability after a PM change.<\/p><hr data-start=\"3358\" data-end=\"3361\"><h1 data-start=\"3363\" data-end=\"3401\">Project Takeover as a process, not an event<\/h1><p data-start=\"3403\" data-end=\"3455\">In a mature organization, Project Takeover should include:<\/p><ul data-start=\"3457\" data-end=\"3628\"><li data-start=\"3457\" data-end=\"3486\"><p data-start=\"3459\" data-end=\"3486\">information gap analysis,<\/p><\/li><li data-start=\"3487\" data-end=\"3528\"><p data-start=\"3489\" data-end=\"3528\">risk review from the new PM&#8217;s perspective,<\/p><\/li><li data-start=\"3529\" data-end=\"3566\"><p data-start=\"3531\" data-end=\"3566\">verification of schedule feasibility,<\/p><\/li><li data-start=\"3567\" data-end=\"3599\"><p data-start=\"3569\" data-end=\"3599\">alignment session with the sponsor,<\/p><\/li><li data-start=\"3600\" data-end=\"3628\"><p data-start=\"3602\" data-end=\"3628\">a plan for the first 72 hours.<\/p><\/li><\/ul><p data-start=\"3630\" data-end=\"3665\">Without this, the new PM acts reactively.<\/p><p data-start=\"3667\" data-end=\"3696\">With this \u2014 they act strategically.<\/p><hr data-start=\"3698\" data-end=\"3701\"><h1 data-start=\"3703\" data-end=\"3756\">Project Handover protects knowledge.
